Space Analysis and Needs Assessment
Now is the time for us to start discussing your
overall vision for your upcoming relocation.
We obtain information from you that will help us
to think as “one unit.” At this stage we
discuss critical logistics such as: number of
employees being moved, anticipated growth, filing,
storage, workflow, meeting and conference room
needs. Business Managers on the Move will
work with you to understand your requirements and
your business objectives. With feedback from your
key players, we will oversee the planning,
scheduling, and implementation of the entire
project.
Still trying to crunch those numbers? That’s
okay! It is imperative that we establish a budget
during this phase; even it is only a projection.
Knowing if tenant improvement allowances have
been/ are being negotiated in addition to funds you
plan to invest in this project sets the foundation
for everything else to come. This process allows us
time to begin rationing out the budget as a whole,
set up initial spreadsheets and be prepared to
quickly identify contractors we can utilize to
help us stay on track.
Schematics and Design
Here, the vision is fine tuned and we start
thinking in terms of themes, moods, and the
statement you want to make throughout the new
space. We’ll begin to think about furniture,
accent areas, and office layout to enhance
workflow and maximize your rentable square feet.
Key members of your firm and ours will collaborate
with the architect to obtain your ideal design.
Procurement
Based on needs you’ve
communicated and our expertise, we will create
specs and submit RFP’s to be distributed to
vendors necessary for the office move. These
RFP’s may be for office movers, office
equipment, furniture, installation, or other
related services.
We will also partner with your information
technology department to determine local needs for
telephone and data communications. At a minimum,
we can simply be a resource to service providers
for on-site work on your information technology
team’s behalf.
A comparison of services and rates will be
compiled and communicated with our recommendations prior
to contracts being awarded.
Build-out and Implementation
EBS will
attend on-site meetings necessary for walk-throughs
with the construction manager/ superintendent,
architects, broker, security, county inspector,
and others that require a representative to
be on-site. Quality of work from vendors,
professionalism, and costs will constantly be
scrutinized.
Although we understand the need for your staff to
focus on the business at hand, we also know how
important it is for them to be kept abreast of
progress on the relocation. Knowing how important
these updates are during your staff meetings,
we’ll of course keep you updated in a format
that’s user-friendly to relay to staff on a
periodic basis. In these updates, you’ll be
advised of real-time status in comparison to
timeline, occasional electronic photos, status of
permits and any other pertinent information you
need to be made aware of.
Follow Up
You
can expect us to be present in the office as this
milestone unfolds!
EBS
will be on-site as needed the first week of the
move to ensure everything is running smoothly, be
a support to staff, and work on close-out
documents.
Once a punch list has been expedited and all needs
have been met, expect to receive a bio of: all
floor plans, copies of invoices, purchase orders,
packing slips, receipts, proposals, contracts,
warranties and contact information!
